How to turn on clipboard history in Windows 11
Windows 11 can remember the last 25 things you copied, so you can paste an address from this morning or a paragraph from yesterday’s proposal without hunting for it again. Press Windows logo key + V, select Turn on, and from then on the same shortcut opens a list of recent copies you can paste with one click.
This guide covers turning it on, pinning text you reuse, what it can and can’t hold, syncing between two PCs, clearing anything sensitive, and what to check when Windows + V does nothing.
Before you start
- You’ll need: a Windows 11 PC and about two minutes. Clipboard history also works on Windows 10, though menus differ slightly.
- For sync: the same Microsoft account or work account on each PC.
- Heads-up: on a work-managed PC, your administrator may have turned the feature off.
Turn on clipboard history
- Press Windows logo key + V.
- Select Turn on. Windows only starts saving copies from this point, so the list starts empty.
- Copy as usual with Ctrl + C or right-click Copy.
- When you want an older item, put your cursor where it should go, press Windows logo key + V and select the item. It’s pasted straight in.
You can also switch it on in Start > Settings > System > Clipboard with the Clipboard history toggle. That page holds the sync and clear options covered below.
What clipboard history keeps, and for how long
According to Microsoft, clipboard history follows a few fixed rules. Knowing them saves you from losing something you assumed was saved.
| Rule | What it means day to day |
|---|---|
| Up to 25 items | The 26th copy pushes out the oldest unpinned item. |
| Up to 4 MB per item | Large images or very long documents may not appear in the list. |
| Text, HTML and bitmap images | Those are the formats Microsoft lists. Content in other formats may not show up. |
| Cleared on restart | Everything except pinned items is gone after you restart the PC. |
| Pinned items stay | Pins survive restarts and the Clear all button. |
Pin the text you paste every week
Pinning turns clipboard history into a small, free snippet library. Open the panel with Windows logo key + V, then select the pin icon next to an item. Good candidates for a one-person business:
- Your business name, address and tax or VAT number for invoices and forms.
- Bank or payment details you send to clients (not passwords; see below).
- A standard reply, such as your rates, availability or onboarding instructions.
- Your booking or payment link.
Keep pins to the handful you use most, so the panel stays quick to scan when you’re looking for something you copied an hour ago.
Sync your clipboard between two PCs
If you work on a desktop and a laptop, Windows can carry copied text from one to the other. Both PCs must be signed in with the same Microsoft account or work account.
- Go to Start > Settings > System > Clipboard.
- Turn on Clipboard history across your devices.
- Choose Automatically sync text that I copy or Manually sync text that I copy.
- Repeat on the second PC.
Pick Manually if you copy client details, account numbers or anything under a confidentiality agreement. Automatic sync sends every piece of text you copy through Microsoft’s cloud. Manual sync only uploads items you choose: open the panel with Windows logo key + V and select the sync button on that item. Microsoft’s labels say sync covers text, so images stay on the PC you copied them on.
Sync relies on your Microsoft account, so it’s worth protecting that account properly. Our guide to turning on two-step verification for Google and Microsoft accounts takes about ten minutes.
Clear passwords and client details
Anything you copy lands in the list, including passwords, card numbers and the client data you paste into an email. Anyone who can use your PC while it’s unlocked can press Windows logo key + V and see it. Clear it when you’re done:
- One item: press Windows logo key + V, select See more (…) next to the item, then Delete.
- Everything on this PC except pins: press Windows logo key + V and select Clear all at the top.
- Everything except pins, on this PC and in the cloud: go to Start > Settings > System > Clipboard and select Clear next to Clear clipboard data. Use this one if sync is on.
A password manager that fills logins for you avoids most of this, because the password never goes through the clipboard. If you do copy passwords from one, check its settings for an option to clear the clipboard after a set time.
The same habit applies when you paste client material into AI tools. Our guide to keeping client data out of AI training covers the settings in ChatGPT, Claude, Gemini and Copilot.
Paste without the formatting
Clipboard history pastes an item the way it was copied, fonts and colours included. That’s a nuisance when you move text from a website or PDF into an invoice or email. Microsoft’s free PowerToys app adds a tool called Advanced Paste that fixes this:
- Ctrl + Windows logo key + Alt + V pastes the current copy as plain text.
- Windows logo key + Shift + V opens a small window with more options, such as pasting as Markdown or JSON.
The plain-text and format conversions run on your PC. Advanced Paste also has optional AI features that are off by default; the online ones need an API key from a provider such as OpenAI and may cost money, so you can ignore them.
If Windows + V doesn’t work
- The panel opens but says history is off: select Turn on. Items copied before you turned it on won’t appear.
- The setting is greyed out with a note about your organization: an administrator has turned off the Allow Clipboard History policy, which is common on work-managed PCs. Only whoever manages the PC can change it.
- An item you copied is missing: it may be over the 4 MB limit, it may not be text, HTML or an image, or the PC may have restarted since you copied it.
- Nothing appears on your second PC: confirm both PCs use the same Microsoft account and have Clipboard history across your devices turned on. With manual sync, you have to select the sync button on each item.
- The shortcut does nothing at all: try pressing it in a different app, such as Notepad. Some apps and remote-desktop windows capture Windows key shortcuts.
Remember that a restart clears unpinned items, including the restarts Windows Update schedules for you. Our guide to stopping Windows 11 restarting for updates during work hours keeps those to times you choose.
How we checked: limits, settings names and clearing steps come from Microsoft’s “Using the clipboard” support article; the policy name comes from Microsoft’s Windows management documentation; Advanced Paste shortcuts come from Microsoft’s PowerToys documentation. All were checked on October 26, 2026. Menu labels can shift slightly between Windows 11 updates.
